How long we keep it

Data Retention

Last updated · August 18, 2026

We keep information only as long as it serves the engagement or a legal obligation, then remove it. Here's how that works by data type.

We keep information only as long as it serves a clear purpose: running your engagement and meeting the legal, tax, and professional obligations that come with financial recordkeeping. When a purpose ends and no obligation requires us to keep the data, we remove it.

Active engagements

While your engagement is active, we retain your documents, ledgers, statements, and communications so the work stays complete, auditable, and available to you and your firm.

Financial and tax records

Books, statements, and tax-related documents are retained in line with applicable recordkeeping requirements. Because tax and accounting records are commonly required to be kept for several years (often up to seven), these may be retained after an engagement ends to satisfy those obligations.

Uploaded documents and working data

Documents you upload and the working files derived from them are retained for the life of the engagement. You may request removal of specific items, subject to any legal hold or retention requirement that applies.

Connected-account data

Transaction history brought in from a connected account is retained as part of your books. When you disconnect an account, no new data is pulled; previously imported records remain part of the ledger unless you ask us to remove them and no obligation requires their retention.

Operational logs

Security and audit logs are retained for a limited period to protect the service and investigate issues, then rotated out. These logs are kept free of unnecessary personal detail.

Backups

We keep encrypted backups so data can be recovered after a failure. Backups are retained on a limited, rotating schedule and then overwritten. Data deleted from the live service is removed from backups as those backups age out.

Deletion and account closure

When an engagement ends or you request deletion, we delete or de-identify your information within a reasonable period, typically within 90 days, except where we are required to keep certain financial or tax records for longer. Requests are usually coordinated through the firm that serves you.

Specific retention periods depend on the records involved and the obligations that apply to your firm. If you need the exact period for a particular type of record, contact info@charcounting.com.
